1, Vacancy: Commercial mechanical project manager

Department:        Gas Commercial Service
Role:                    Commercial mechanical project manager
Reporting to:        Mechanical department,Brian Grove
                 

Project manager required to join our expanding mechanical department.
Candidate will need to demonstrate an ability to run smaller projects from start to finish and the ability to site survey, quote, run the project and put thorough for invoicing.
Part of the process will be to compile H&S file through to the O/M

3, Vacancy: Customer Service Operative

Department:         Gas Services Department
Role:                     Customer Service Operative
Reporting to:        Gas Service Supervisor
                 

Position available  as Customer Service Operative within the Gas Services  Department.

Duties include -

  • Answering incoming and making outgoing calls relating to boiler breakdown, repairs and service maintenance
  • Planning engineer daily diaries of work and allocating jobs throughout the day using our in house computerised diary system
  • Dealing with customer correspondence and admin tasks
  • Handling basic customer complaints

Preferred Skills

  • Confident Telephone Manner
  • Working with a Customer Focused/Contact Centre environment

Hours of work –

4, Vacancy: Commercial Contract Administrator /Co-ordinator


Role:                     Commercial Contract Administrator /Co-ordinator
Reporting to:        Managing Director, Operations Manager
                 

This position reports directly to line managers, with the desk position separated from the daily operational Administrators.

Core Role

  • Existing contract renewal
    • Liaise with Client on renewal, price and visits/scope
    • Agree renewal and Invoicing terms
    • Agree lines of communication
    • Agree KPI’s and reports
    • Agree PPM program
  • Existing legacy sites migration to asset based service regime
    • Co-ordinate collection of and directly input Asset
    • Compile delap records and escalation flags
    • Setup bespoke client work items
    • Convert site service regime/setup at Renewal
    • Produce operational procedures and guidelines and update system records

 

  • New Contract Mobilisation
    • Setup new site to Tender conditions
    • Co-ordinate collection of and directly input Asset
    • Agree KPI’s and reports
    • Agree PPM program
    • Co-ordinate the mobilisation and inductions
    • Produce operational procedures and guidelines and update system records
  • Contract Administration
    • Setup and maintain department default SOR’s
    • Co-ordinate electronic solutions throughout department
    • Review contract finance and coordinate management reports
    • Collate routine KPI’s with supporting data and reports ready for contract of managers’ meetings
    • Optimise and improve invoicing
    • Setup and coordinate Sub-contractor accounts migrating to e-solution
    • Attend contract meetings as required
    • Coordinate the end to end e-solutions, identify weakness and suggest resolutions
    • Coordinate the auto-escalation system
    • Review delap reports and coordinate with associated personnel
    • Review ongoing IT development procedures including the Webportal and provide feedback

The right candidate will have:
•    Previous experience of contract administration.
•    Good verbal and written communication skills.
•    Ability to work under pressure whilst remaining calm and methodical.
•    Ability to prioritise work under the general guidance from the line manager/department manager.
•    Previous knowledge and experience of processing accounting data, invoicing and payments.
•    Excellent PC skills - a thorough knowledge of Word and Excel and the ability to learn new systems.
•    Ability to work on own initiative with little supervision.
•    Ability to work to a very high standard of accuracy and attention to detail.
•    Excellent time management skills and good interpersonal skills.
•    Basic understanding of Commercial Plant types, such as Pumps or Boilers

Hours of work –

8am – 5pm Monday – Friday.

5, Vacancy: Gas Install Administrator

Department:         Gas Install Department
Role:                     Gas Install Administrator
Reporting to:        Gas Install Supervisor
                 

The role will encompass supporting the gas installation team to work effectively & efficiently in their roles and project works.

Summary of the initial responsibilities to be reviewed quarterly in line with client and company requirements.

The main pre-requisites are:-
•           Experience in service delivery
•           Understanding delivery of best value and continuous improvement
•           Demonstration of organisational skills
•           Demonstrate initiative and good work ethic
•           Openness to learning
•           Exceptional communication and interpersonal skills

Primary Responsibilities:-
•           Diary and Labour Management
Creation of Job Costing/Diary jobs within Vixen liaise with project manager and chase through to completion. Booking appointments when necessary and general diary management.

•           Timesheets
Loading engineers work on a daily basis, collating daily/weekly reports and preparing the timesheets for project manager sign off.

 

•           Invoicing
Monthly applications collated and sent over for approval, monitor payments and invoice quoted smaller jobs.

•           Gas Safe
Data entry for new installations

Requirements

The ideal candidate will have a good general or technical education beyond GCSE, e.g. 2 or more A-Levels grade C or above/ NVQ3, this will include Maths and English GCSE’s at grade C or above or vocabulary, verbal reasoning and numerical skills to the equivalent ability level as well as substantial experience in a similar role is essential.

The ability to develop and maintain systems to monitor service / contract delivery and standards and good working knowledge of all Microsoft Office applications (Word, Excel, and Outlook) is required.

Ideally you will also have excellent communication skills both oral and written.

Previous Customer focused experience beneficial.

Hours of work –

Monday to Friday 8am – 5.30pm.
